Our privacy statement for families.
Last updated 29 October 2026. How Amana Kids Family Day Care, Inala, Queensland, looks after information about the children in our care and their families.
What we collect
- About your child: name, date of birth, address, health and medical details (allergies, medical conditions, medication, immunisation), the doctor and medical centre, and the details on your child's enrolment.
- About your family: parents' and guardians' names, contact details, the people allowed to collect your child, emergency contacts, and court orders or parenting plans you give us.
- For the Child Care Subsidy: Customer Reference Numbers (CRN), Medicare details and booking and attendance records.
- Records of care: attendance, sign-in and sign-out, incidents, injuries, illness, medication given, and your child's learning records.
- Photos: learning photos of your child, only with your consent on the enrolment form.
Why we collect it
To provide and manage your child's education and care, keep your child safe, and meet our legal duties as an approved education and care service under the Education and Care Services National Law and Regulations, the Family Assistance Law, the Privacy Act 1988 (Cth) and its Australian Privacy Principles, and our policies. We do not sell information or use it for advertising.
Who can see it
Your educator and the Amana Kids office staff who need it to care for your child. We share information outside Amana Kids only when the law requires it, for example with the Queensland Department of Education (the regulatory authority), Services Australia for the Child Care Subsidy, or emergency services when a child's safety depends on it.
Photos and cameras
- Photos of children are taken only in the Amana Educator app on the service tablet, never on a personal phone.
- Educators never send photos. Only the Amana Kids office shares photos of your child with you.
- Every educator's home has a notice at the front door saying whether there are cameras at the home, where they are and who can watch the recordings. No camera can see a toilet, bathroom, nappy change area or where children sleep.
Services that help us
We use a few trusted services to run Amana Kids. They may only use your information to do that work for us:
- Our web host stores this website and our records. A weekly encrypted backup is kept in Amana Kids' own Microsoft 365 storage.
- Maps: excursion and outing addresses are looked up with OpenStreetMap services, without names.
Our website
What you type into a form on this website goes only to the Amana Kids office. The site has no advertising or tracking cookies. It remembers your light or dark display choice in your own browser, and its fonts load from Google Fonts, which sees your device's internet address.
How we keep it safe
Records are kept in Amana Kids' own secure systems and sent over encrypted connections. Only authorised people can open them.
How long we keep it
For as long as the law requires. Some records about a child (for example an incident, injury or illness) are kept until the child turns 25. Then they are securely destroyed.
Seeing or correcting your information
You can ask the office to see the information we hold about you or your child, or to correct it. If you have a concern about how we handled your information, please tell us: see Complaints & Feedback. If you are not happy with our answer, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992. Our full Privacy & Confidentiality policy is in the Policies and Procedures Manual, which you can read from the QR code at your educator's home, or ask the office for a copy.
